Summary
The ASPCA’s National Field Response (NFR) team provides critical on-the-ground support for animals affected by disasters, cruelty, neglect, and hoarding. The Manager, Program Operations will deliver administrative, financial, and logistical leadership in support of NFR operations nationwide. This fully remote role requires occasional travel and a proactive, organized professional capable of managing complex workflows, budgets, team coordination, and emergency deployments.
Key Responsibilities
🔹 Program Administration (45%)

Oversee departmental metrics and reporting using Salesforce and Airtable.

Create presentations, forms, templates, and internal communications.
-
Manage the VP’s calendar and team-wide scheduling.

Lead onboarding of new staff and maintain related documentation and gear.
-
Coordinate communications on ASPCA’s internal platform (Workplace).
-
Identify and implement process improvements and tech tools.
🔹 Invoice Processing & Financial Oversight (25%)

Process invoices, capital expenses, and travel reimbursements via Workday.
-
Track case-related expenses and budgets.
-
Onboard vendors and responders, ensuring tax compliance.
-
Develop SOPs and training for financial procedures.
-
Negotiate discounts and coordinate in-kind contributions.
🔹 Meeting Coordination & Logistics (15%)

Plan 2–3 multi-day meetings annually (virtual or in-person).
-
Handle logistics: catering, travel, agendas, A/V, notes, follow-up surveys.

Run bi-weekly team meetings and leadership meetings.
🔹 Deployment Support (15%)
-
Provide in-field and remote operational support during deployments.

Coordinate temporary shelter searches and secure appropriate sites.
-
Serve in deployment roles such as Finance or Metrics Lead.

Maintain readiness certifications in first aid, rescue, etc.
-
Participate in monthly on-call rotations.
Required Qualifications
-
Education: High school diploma or GED required. Bachelor’s degree or equivalent experience preferred.

Experience: Minimum 4 years in operations, logistics, or administration; experience in emergency response, deployments, and calendar management preferred.

Technical Skills:

Strong MS Office (Word, Excel, PowerPoint, Outlook)

Familiarity with Airtable, Salesforce, Canva, Box

Quick learner with new technology

ICS Certifications: IS-100, IS-200, IS-700, IS-800

Valid driver’s license; DOT medical clearance preferred

Additional Details

Must be available for travel (7–10 days at a time, up to 15% annually) including nights, weekends, and holidays.

Regular exposure to animals, cleaning agents, and variable outdoor environments.

Must be responsive during on-call weeks (8 a.m. – 8 p.m., within 2 hours).
