Position Overview

The Global Program Coordinator / Executive Assistant will support the Senior Vice President (SVP) of Global Programs by ensuring the smooth operation of departmental activities. This includes administrative coordination, information management, meeting planning, communications support, and project facilitation. The ideal candidate brings strong organizational skills, excellent communication, and prior experience supporting executives in a dynamic, international context.


Key Responsibilities

  • Provide day-to-day administrative support to the SVP, including scheduling, meeting coordination, travel arrangements, and information management.

  • Prepare reports, presentations, board submissions, and internal documents as required.

  • Maintain departmental calendars, track deadlines, and anticipate operational needs.

  • Assist with departmental budget tracking, invoice processing, and expense reporting.

  • Coordinate with internal and external stakeholders across time zones.

  • Ensure effective use of platforms such as Outlook, SharePoint, Convene, and Microsoft Office tools.


Required Qualifications

Education:

  • University degree in Business Administration or a related field.

Experience:

  • At least 5 years of administrative experience in a multinational organization.

  • Experience supporting an executive and a department in a high-paced environment.

  • Familiarity with board-level communications and processes.

Technical Skills:

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel), SharePoint, and Convene.

  • Understanding of business principles and international development practices.

Additional Competencies:

  • Ability to work across multiple time zones.

  • Strong verbal and written communication skills.

  • Attention to detail and organizational skills in a fast-paced setting.

  • Professional discretion and ability to handle confidential matters.

  • Ability to work independently and as part of a team.

  • Willingness to travel occasionally.
