Role Overview

Epoch AI is hiring a Finance Associate or Finance Manager to manage financial processes, including payables, receivables, bookkeeping, and accounting across our US and UK entities.

The role is fully remote with preference for US-based candidates and requires at least 4 hours of overlap with PST working hours. This position offers opportunities for professional growth and significant organizational impact.

Key Responsibilities

Finance Operations

• Manage payables and receivables, including vendor and contractor payment workflows.
• Oversee payment platforms like Bill.com, Wise, and QuickBooks Online.
• Enforce and maintain financial standard operating procedures (SOPs).
• Support budget tracking for discretionary spending, grants, and retreats.
• Ensure confidentiality of financial records and adherence to expense policies.

Accounting and Reporting

• Collaborate with external bookkeepers to ensure timely transaction recording.
• Support with monthly financial reports, management accounts, and funder reporting.
• Track restricted and unrestricted funds and create corresponding accounting entries.
• Maintain and optimize QuickBooks Online, including report customization.
• Assist with issuing annual forms (e.g., 1099s, 1042s).

Finance Manager-Specific Responsibilities

• Own internal controls and manage the annual audit process.
• Establish financial SOPs and oversee accounting contractors.
• Develop tools for financial forecasting and manage financial reporting systems.

What We’re Looking For

Required Qualifications

• Finance Associate:
  • Experience in nonprofit fund accounting and bookkeeping.
  • Familiarity with QuickBooks and GAAP compliance.
  • Proficiency in Excel/Google Sheets.
  • Strong organizational and communication skills.
• Finance Manager:
  • 2+ years of experience in finance operations for nonprofits with multiple legal entities.
  • Knowledge of IFRS and financial reporting for restricted funds.

Preferred Skills

• Experience in fast-paced or startup environments.
• Interest in and understanding of Epoch AI’s mission.
• Ability to work independently and solve problems effectively.
