Role Summary

The Coordenador Executivo (Executive Assistant, Brazil) provides direct administrative support to the Brazil Executive Director and the Conservation Senior Director, with occasional support to other senior regional staff. You will manage complex calendars, coordinate domestic and international travel, prepare briefings and presentations, organize meetings and events, track priorities and follow-ups, and serve as a key liaison with internal teams, donors, vendors, and partners. The role includes supervising one or more staff, safeguarding confidential information, and improving processes to enhance effectiveness across the Brazil Business Unit.

Key Responsibilities

  • Manage executive calendars end-to-end: prioritize requests, orchestrate high-priority meetings, and ensure proactive scheduling aligned to strategic needs

  • Plan and coordinate meetings, workshops, and special events: prepare agendas, collect pre-reads, document minutes and decisions, track action items and milestones, and ensure logistics and technology readiness

  • Coordinate extensive domestic and international travel: optimize itineraries for cost, time, and impact; manage reimbursements and related expense processes

  • Draft, review, and edit correspondence, briefings, talking points, and presentation materials; ensure clarity, accuracy, and alignment with TNC style and brand guidelines

  • Maintain compliance with TNC policies and external requirements (donor/legal) within Directors’ portfolios; support budget preparation and track purchases, invoices, and vendor contracts

  • Generate and interpret reports; synthesize research to support decision-making for the BU Director; flag priorities and risks, and manage stakeholder engagement tracking

  • Serve as regional backup for other Assistants as needed; ensure continuity during absences

  • Supervise, mentor, and coordinate work of assigned staff, volunteers, or interns; provide targeted training to improve administrative practices and tools adoption

  • Maintain confidentiality and exercise sound judgment in handling sensitive matters; model TNC’s Code of Conduct and competencies

  • Complete administrative tasks including timesheet support in Deltek and report reviews in Concur; participate in local, regional, and global projects as required

Qualifications

  • Bachelor’s degree and 4+ years of relevant experience (or equivalent combination)

  • Proven experience supporting directors or multiple senior leaders in fast-paced, matrixed organizations

  • Strong business writing, editing, and proofreading skills; ability to summarize complex content and convey key messages

  • Demonstrated strength in organizing, prioritizing, and meeting deadlines across diverse activities and stakeholders

  • Experience generating reports and interpreting data to inform decisions

  • High proficiency with collaboration and productivity tools (e.g., Microsoft Teams, Smartsheet, Hub, Box, Concur, Deltek) and rapid learner of new software

  • Success working across teams and cultures; relationship builder with discretion handling confidential information

  • Fluency in English and Spanish

Desired Qualifications

  • Multi-lingual skills and cross-cultural experience

  • Experience supporting boards, donors, volunteers, and executives; comfort representing leaders with diplomacy and tact

  • Ability to analyze information to coordinate activities and solve problems; interpret guidelines to achieve results

  • Strong attention to detail, accuracy, and follow-through; track record improving processes and workflows

Work Environment and Travel

  • Remote role based in Brazil; flexible hours may be required for events and international coordination

  • Occasional travel within Brazil and potentially internationally

  • Infrequent exposure to disagreeable elements; minor physical exertion and/or strain
